What does it mean to see the caller's number in the POS?

It means that when a customer calls, their number appears on the POS screen before you answer, and the system looks it up in your customer base: caller ID tied to your orders. The operator sees who is calling and, for a known customer, opens the order with them already selected, without asking for their name and address again.

APPY does not record calls, and calls are not stored on APPY's servers.

Challenges

  • On every call the operator asks again "what is your name and where do we deliver?", even customers who order every week.
  • The number and address are typed into the POS by hand, and a wrong digit only shows at delivery.
  • At peak hours a call nobody picks up goes unnoticed, and the customer orders somewhere else.
  • A loyal customer is treated like a new one, because the operator does not know who is calling until they ask.

APPY Phone on your SIM phone

An Android app for the phone the restaurant already takes orders on, with the same SIM and the same number, on any carrier. The call rings as usual and is answered on the phone, with no PBX and no extra equipment.

APPY Phone: the caller, right in the POS

The number appears on the location's open POS screens, with the customer found by number. "New order" opens the order with them selected, and while the call lasts the POS shows "In call".

APPY Phone: missed calls and unknown numbers

Unanswered calls appear in the "Missed calls" list, each with "New order", so you can call back. A number that is not an APPY customer shows the name from the phone's contacts, and a hidden one shows as "Hidden number".

Cloud PBX, connected server-side

If you already have a cloud phone system, APPY connects to it from APPY's servers, through the PBX's AMI interface. Nothing is installed in the restaurant: operators talk on the IP phones or softphones they already use.

PBX: take the call from the POS

The call appears in the POS for every operator, with the customer recognized by number. The first one to take it gets it: APPY routes it to a free extension in the configured group, and the notification disappears for everyone else. The call can be hung up from the POS too.

PBX: several operators at once

Operators take different calls in parallel, up to the number of free extensions in the group. Taking a call from the POS also opens a new order, with the customer searched by number.

Choose your path

The restaurant's SIM phone, with APPY Phone, or the cloud PBX you already have. One location can also run several phones alongside a PBX.

We connect the location

For APPY Phone, the APPY team installs the app on the phone and pairs it with the location using a QR code from Admin. For a PBX, we set up the PBX access and the operators' extensions in Admin.

A customer calls

The call appears on the location's open POS screens while it is still ringing, with the customer found by number. In Admin you decide whether every user sees it or only certain operators.

You open the order

With APPY Phone you answer on the phone and tap "New order"; with a PBX you take the call straight from the POS. The order starts with the customer already selected.

Frequently asked questions

No. With APPY Phone, the Android SIM phone you already take orders on sends the calls to the POS. The PBX integration is for restaurants that already have a cloud phone system.
A phone running Android 10 or newer, with internet (WiFi or mobile data), kept on charge and with the time set automatically. APPY Phone becomes the phone's caller ID app, so it takes the place of any spam-blocking app. Without internet the phone rings as usual; the call just does not reach the POS.
No. iOS does not let apps see the calls coming in on the SIM, so APPY Phone exists only on Android.
No. APPY Phone does not record calls, read text messages or read the call log. It has access to the contacts so it can also recognize numbers saved there and show the contact name. The PBX integration does not record calls either.
With APPY Phone, no: you answer and hang up on the phone, and the POS shows the call and its state. With a cloud PBX, yes: you take the call from the POS, it rings on a free extension in the group, and you can hang up from the POS too.
No. APPY Phone sees the calls that ring on the SIM. WhatsApp or Telegram calls go over the internet, not the mobile network, so they do not reach the POS.

Yes. A location can have several phones running APPY Phone and a PBX, and the POS follows all of them. With two or more phones, each call shows which phone it came in on.
With APPY Phone they appear in the POS "Missed calls" list (the last 10), each with "New order", so you can call the customer back. The list belongs to the open POS screen, because calls are not stored on APPY's servers.
